To start your draft card in the approvals process, click Route for Approval on your Draft Card Preview page. You will be asked if you want to send the draft for approval. Click Yes, Route for approval.
You will receive a Route for Approval Summary window, advising how many new resources are included in the approval, and if any resources are pending or already approved (you will see numbers in these last two when you are updating a card that has already been sent for approval).
Your Draft Card Preview page will indicate which resources are awaiting approvals.
On your dashboard, if you are someone with approvals permissions for your agency, you will see a box labeled Approvals.
If your agency has any pending approvals that need to be replied to, you will have an indication there.
To access your approvals, you can click on that box, or select Approvals under Box Cards in the header.
Your approvals page will show the cards that need your attention in the Drafts Submitted column
Click on View Draft of the card you wish to view. It will bring up the Draft Card Preview. Select Reply Request near the top right to view the resources that have been requested of your agency.
It will bring up a small window, where you select Reply Request.
You have the option to approve all, or you can click on the check mark or x by each resource. If you reject a resource, you get a space to add a comment explaining the reason for the rejection.
Click Send Reply. When you go back to your approvals page, that card will no longer appear in your Drafts Submitted column. It has been moved to Historical Requests.
To view the status of any card in the approvals process, to see who has replied to the requests and which are left to be responded to, click on View Draft, then Overall Status.
This will show who has already responded along with the date and time of the response. You will also be able to see which resources are still pending an approval, and how many days left before the 30 day auto approve deadline.
Cards that have completed the approval process will go live, to available status, at 0730 the following day. Any resources that are not responded to within 30 days, the system auto approves the following day.
In addition to the indicators on your dashboard, email notifications are sent. Personnel that have permissions to approve cards will be notified via email when a request for a resource from your agency has been made and when an approval to a resource you had requested has been made.
